Why Do I Need a Project Manager for My Hotel Technology?

Article at a Glance:
Why do hotel owners need a specialized project manager to oversee their property’s low-voltage and technology installations?

The answer lies in bridging the critical execution gaps that occur when lean internal teams lack the specialized hospitality market knowledge, technical expertise, and objective focus required to manage complex digital networks. Hotel technology builds involve unique constraints, budgets, and distinct cross-vendor coordination across networks, safety systems, and audiovisual elements. By utilizing an experienced, external project management consultant like NTI, owners gain a dedicated intermediary who can provide comprehensive financial oversight, troubleshoot technical roadblocks before they delay opening day, aggressively mitigate deployment risks, and maintain accountability among contractors—ensuring the project is delivered on schedule, within budget, and up to brand standards.

What I’d like to look at today is the “why” of a project manager, specifically for the technology associated with hospitality projects.  We’ve previously shared our thoughts on the “what” of project management with regard to the technology associated with commercial developments.  I’d encourage you to take another look at that conversation here: Low Voltage Project Management.

Depending on your source of information, it is estimated that there are around 400,000 PMP-certified project managers in the United States.  That’s probably a drop in the bucket compared to the actual number of people who manage projects as a core part of their job.  For the purposes of this article, we are focusing on project management for the technology requirements for a hotel.

There are three key takeaways from this.

  1. Project management is an essential role for most organizations, which requires people to successfully execute your plans.  Not all organizations have the personnel with the proper skill sets to do so.
  2. Obtaining a certification is a great way to enhance project management skills, however many seasoned and talented project managers have developed their expertise via OJT and experience, versus beginning with a  certification.
  3. Specific market knowledge is often best learned by years of working within the industry for which you are providing specific services – in this case, the technologies in a hotel.

There is another reality of project management that is relevant to our conversation.  It isn’t uncommon that project management skills come from outside the company.  There are a number of reasons why this brings value to a team, and why a company like NTI can bring success to your project.  I’d like to share some of those with you here.

Expertise and Specialized Skills

Companies like NTI often bring specialized knowledge and expertise to the table that may not be available in-house. If the project requires a deep understanding of specific technologies or industries, hiring a consultant with experience in those areas can ensure the project is managed with a higher degree of proficiency.  At NTI, not only have we have worked on more than 1,400 hotel projects over the last 25 years, our team has actual experience working in the hospitality technology arena..  people with experience in several industries.  With that specialized knowledge, we are able to provide our clients with skilled assistance and leadership that ensures projects run as smoothly as possible and the results are as required.

Filling Gaps in Capacity

It is no secret that many organizations run lean.  Whether the capacity gap is tied to technical expertise, project management talent or simply workload, consultants are able to fill that gap and then turn over the successful implementation to the operating team.  While gaps are often tied to the size and complexity of a project, that is not always the case.  We often see clients who have chosen to focus their internal resources on the strategic, long-term organizational objectives and let us help them execute specific tasks that help drive their success.

Objectivity and Fresh Perspective

A consultant, being an outsider to the organization, can provide an unbiased perspective. This can be especially useful in complex or politically sensitive projects where internal dynamics might cloud judgment or hinder decision-making. Our objectivity allows us to focus on the project’s goals rather than internal politics or personal agendas.

New Approaches and Problem Solving

Consultants bring fresh ideas and problem-solving skills from previous projects. Like anyone else, we often have proven methods we use on projects, however, by facing new challenges on each project, we learn new ways of tackling issues and problems that arise.  If your organization is facing roadblocks or bottlenecks that internal teams have struggled to overcome, a consultant like NTI can offer those innovative solutions and best practices that we have successfully incorporated from other project experiences.

Specialized Resources

Depending on the project scenario, NTI (and other consultants) often have an extensive network of industry professionals, tools, and resources we can tap into. We can bring in specialized contractors, subject matter experts, or even new technologies to support the project, providing skilled resources that might not otherwise be available to an organization.

Cost-Effectiveness

Hiring a full-time project manager can be expensive in terms of salary, benefits, and overhead costs. Depending on the project size and scope, a consultant may be a more cost-effective choice, particularly if the project does not justify a long-term hire.

Problem-Solving and Risk Mitigation

Every project encounters obstacles along the way, whether it’s a delay, a budget issue, or an unexpected technical challenge. At NTI, we can identify the root causes of these problems quickly and devise practical solutions. We use our experience and analytical skills to troubleshoot issues before they escalate out of control.

Consultants can also play a critical role in proactive risk management. By identifying potential risks mitigation strategies can be developed that can minimize or help prevent issues from arising. This foresight minimizes disruptions and allows the project to remain on track.

Effective Communication

Effective communication is crucial to any project’s success, and a project management consultant excels in bridging the communication gap between various stakeholders. We act as the intermediary between the client, project team, and other stakeholders such as vendors or contractors. By managing regular status updates, reports, and meetings, we keep everyone informed and aligned on project goals, timelines, and potential roadblocks.

We also excel in managing stakeholder expectations, ensuring that both the client and team members have a clear understanding of project scope, deliverables, and timelines. This communication ensures that everyone is on the same page, reducing misunderstandings and preventing scope creep.

Leadership and Team Guidance

Leadership is at the core of successful project management. At NTI, we bring leadership to a project by guiding the project team and setting clear expectations for performance and collaboration. We help establish team roles, set deadlines, and ensure accountability across the board.

In addition, we have the experience to handle difficult situations such as conflicts, misalignment, and challenges. Our leadership not only ensures that the team stays motivated and productive, but also builds trust.

Budget Management and Financial Oversight

We working closely with the client to ensure that the project is completed within the established budget and address project changes and identify their impact to the project.
